Comments
When visitors leave comments or place orders on the site, we collect the data shown in the form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment. All other data collected is for the purpose of fulfilling your order or marketing our services to you.
Media
If for any reason you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
We may request images, videos, copy and other personal and business-related information, as part of fulfilling your service request, or to use as part of your digital marketing or media campaign.
Contact forms
Our contact forms are used for you to contact us. Please only share information that you are happy for us to store in our database. Your use of our contact forms is taken as your acceptance for us to store the information that you share with us. Any communications made via email, phone, or face to face, will be stored to provide the services that you have requested or have shown interest in.
This website uses Tidio, a chat platform that connects users with the website owber. We are collecting email addresses and names via this app only with the consent of the users, to start the chat. The messages and data exchanged are stored within the Tidio application. For more information, please refer to their Privacy Policy.
The website owner is not making use of these messages or data other than to follow up on users’ registered issues or inquiries. When using the Tidio app, users will also have the opportunity to join our newsletter/mailing list and if you give consent for this, your name and email address will also be stored in the Mailchimp email service. Your personal data will be processed and transmitted in accordance with the General Data Protection Regulation (GDPR).
Payment Details
We use third party sources for processing payments on our website. These include; Gocardless for monthly direct debits and Stripe, for single card payments. As part of our paid services, we also use Google analytics on your own website, to help you improve the performance of your website and digital marketing and media campaigns. We will either set up Google Analytics for you on your website or request access to your analytics, if you have already set this up. Security and Anti-spam
We use Google recaptcha to protect our contact forms and comment sections from spam and bot activity. Google recaptcha is a free service from Google, which helps to protect websites and apps from spam and abuse, by keeping automated software from interacting with contact forms or comment sections. Google recaptcha checks to see if your computer or mobile device has a Google cookie placed on it, or will place one in its absence and then will use the information obtained via the cookie, to assess whether your activity is genuine human behaviour, or that of a bot or spam. Who we share your data with
As we use Google analytics, if you accept 3rd party cookies on our website, your user behaviour will be shared and stored in the Google Analytics application. Google recapture also captures data to determine if you are real user. This information is essential to prevent spam and abuse.
If you leave our website via a link and submit data to one of our 3rd party payment merchants or message us via a 3rd party social media platform, they will store information about you
If you use our chat application, your name, email and chat messages will be stored in the 3rd party application Tidio.
If you decide to opt in to our email marketing, then your information will be stored in the 3rd party email marketing platform Mailchimp
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Data stored in Google Analytics is used for historical research to improve the future experience of our website for users. Therefore, this data is retained in Google analytics indefinitely.
Any data related to your paid services with us, will be stored indefinitely, or until you request us to delete it.
If you choose to opt in to our email marketing or use our chat feature, then your name and email address will be stored indefinitely, or until you decide to unsubscribe.
What rights you have over your data
If you have an account on this site, use our paid services, have sent communications via our online forms or email, or have left comments, you can request to receive an exported file of the personal data we hold about you. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. You can do this by sending a message via the website contact form, with your request. If you have opted into our email marketing communications, then you will also be able to click on a unsubscribe link in any email marketing message that you receive from us.
Where we send your data
Visitor comments, contact form submissions and login attempts may be checked through an automated spam detection service. Your IP address may also be ran through our 3rd party security software, to improve the security of our website for all users. Any data you share via our online forms will be sent to our staff email inboxes to act on your request. Any communications or information sent to us as part of a paid service, will be shared amongst our staff emails or project management systems. Some information we may also share with 3rd party freelancer, who we use as part of our network of professionals, to provide the best services for you. However, we limit what, if any, information that we share with freelancers. However, basic information such as information of a public nature i.e. name, company name, telephone number, website address, company description and other often public details, may be shared as part of work carried out for you. If you opt into our email marketing, then your name and email address will be securely sent to Mailchimp via an API. If you use the Tidio chat feature your name, email address and messages will be sent to the Tidio app.

Some information is also stored in-house on our local computers, servers and cloud storage. All of our computers are password protected and are only used on secured networks. On all 3rd party accounts for cloud storage, hosting, analytics and payment merchants, we use unique and strong passwords, as well as 2 step authentications on all administrative logins.
We also follow closely the most up to date security measures recommended by our 3rd party providers.
What data breach procedures we have in place
We take every reasonable precaution to protect your personal data. However, should a data breach occur; we will inform customers, relevant government and professional bodies with 72 hours of becoming aware of any breach of data.
What third parties we receive data from
Google analytics aggregates user behaviour and we use this data to make informed decisions to improve your website experience. We also use any data collected by our payment merchant providers, to fulfil your orders and service requests. We also use server information collected by our hosting provider, to improve the security and performance of our website. If you have opted into our email marketing, then we will receive analytics about your interaction with our emails. We use this analytics data to help us improve the emails that we send to you and to help bring you more relevant content.
